In the Catalogue Options tab, begin by flagging who can see the course. If you set the course view option to everyone, the course will appear in the external catalogue (if you’ve created one). The second option, only for logged in users, allows the course to be shown in an internal catalogue. The third option allows access only to the users subscribed to the course (the course will not appear in any catalogue).
Next, decide if there is a max subscription quota to the course, and set the number of allowed entries. If a user attempts to enrol into the course after the max quota has been filled, he or she will not be able to access the course. This option may put the user on the waiting list (see below). The default value is 0, which means no subscription quota limit.
Then, flag whether you want to enable a waiting list for the course. By enabling the waiting list, users enrolling in this course from the catalogue are placed into a waiting list when the max enrolled number is reached. You can also flag the option to automatically enrol one waitlisted learner when another learner is unenrolled. The system will select waitlisted learners based on the enrolment date. For more information, refer to this article.
You can also add demo material to the course, which will be shown in the catalogue. Demo material can be uploaded in the following formats: pdf, .ppt, .pptx .doc, .docx, .mp4.
Next, establish if subscriptions are closed, open, or available during a precise time period, then set the enrolment policy. Who can enrol users to the course? Only the administrator, self-enrolment with Admin Approval, or free self-registration.
When setting the subscriptions policy, if you’ve flagged either the Subscriptions are closed or Subscription is available during the following period option, the course can still remain in the catalogue, but learners that are not already enrolled in the course will not be able to see the course in their assigned catalogues. For those that are already enrolled in the course, the course will still appear in the catalogue and in the My Courses and Learning Plans area of their platforms as long as they still have a valid enrolment status (i.e. the enrolment is not expired).
