Automatic Updates of Data in Your Reports

The settings are configured in the first four tabs of the custom report page (Properties, Filters, View Options and Schedule) and the visibility permissions are updated in real-time. As an example, if you edit a Power User’s permissions by adding or removing courses which are associated with the Power User, the changes you made to Power User permissions are immediately reflected in the value of the filters available in the Filters tab of the Reports menu and are also reflected in the courses that are extracted and visible in the report. 

Power Users permissions can be configured in the Power Users menu, which you’ll find under the E-Learning section of your Admin Menu. For further info about Power User permissions, refer to the Report Content Visibility section in this article and to the Power Users article.

Data refreshes are handled in a two-step process. The first step is a snapshot of the real-time data extracted from the Datalake and made available for the platform to synchronize with, the second step is the platform synchronization with the new data. As such, the data displayed in the reports is not real-time, it is a snapshot of data that can be refreshed at up to twelve intervals per day. The data refresh process, both in the Datalake and platform synchronization, has no impact on the activities of the learner or the collection of data based on the learner's activities.

A snapshot of the live-platform data is updated in the Docebo Datalake on average every four hours, this may vary depending on the size of the database. Once the update process has been completed the new data becomes available for refreshing the data in your platform. This data is considered current for a period of four hours, counting from the beginning of the update process of the Datalake.

While an update of data in your platform is running, you cannot preview your reports and any reports you export will be enqueued waiting for the data refresh to complete. At the end of the automatic update of data in your platform, you’ll be able to export your reports data updated to the date and time of the snapshot, and you’ll be able to see an updated preview. Data refreshes becoming available for the platform from the data Datalake do not affect the availability of generating reports.

Please Note: For sandboxes, the amount of time that data is considered fresh is set to twelve hours.

Possible Data Update Scenarios
