Introduction
In your platform, you can create and store test questions in a global question bank so they can be saved and reused across multiple tests in multiple courses. Once you create a question in a test, you can add the question into the question bank, where you can manage it later and import it into other tests.
Creating Questions in the Question Bank
To access the question bank, reach the Admin Menu by scrolling your mouse over the cog icon in top right corner of your platform, then press the Test Options item from the Settings section. In the tab menu on the left side of the Test Options page, select the Question Bank tab.
Click on the New Question button in the action bar at the top to create a question. Then, in the pop-up box, flag which type of question you want to create. If you need more information about each type of question and how to create each question, refer to this manual. Then, press Continue once the test is created. When you’re finished, press Save Changes.
Once you’ve created questions, they will appear in the list below the action bar.
Adding Question Bank Questions to a Test
Now, you can import the questions, either one at a time or in bulk, to any tests in your platform. Begin by accessing the Admin Menu and selecting the Courses item in the E-Learning section. Then, on the Course Management page, select the menu icon in the course’s row.
From the dropdown menu, select Training Materials. Once you’re on the Training Materials page for that course, find the test in the list of learning objects, then press the menu icon in the test’s row. From the dropdown menu, select Edit. On the Edit page for the test, press the Add Question button, then select the Import from Question Bank option from the dropdown menu.
In the pop-up box, flag which questions you want to insert into the test. You can filter questions by category if you have already associated certain questions with different categories. Remember, when you import a question from the Question Bank, you are also copying all of its attributes such as score, answers policy, and category.
Please Note: Questions from the question bank can only be edited within the question bank itself. You cannot edit a question from the question bank directly inside of a test.
To check the answers of a question you are importing, press the arrow icon at the end of the question’s row in the pop-up box. Then, press Save Changes.
The questions will now appear in the list of questions on the Edit page for the test. You can rearrange the sequence of the questions by pressing the cross icon in the question’s row, then dragging and dropping it the question to your desired location in the list. You can also remove a question bank question from a test by clicking on the unlink icon at the end of the question’s row.
Managing Questions in the Question Bank
Once you have inserted questions from the question bank, and they are associated to one or more tests, you will be able to see the number of the tests associated to each question in the Assigned To column.
By pressing the number, you will see the answers associated with the question, specifying the correct one, and the name of the tests and the courses associated with this question. If you press the name of the test, you will be redirected to the test’s Edit page. Once the question is associated with at least one test, you will not be able to delete it anymore. Rather, you can only archive the question by clicking on the eye icon in the question’s row.
When you archive a question, you can no longer add the question in any new tests, but the question will be still visible in the old tests and answers are still recorded by the LMS. You can press the eye icon again to undo the archive and reactivate the question in your platform.
If a question has not yet been associated with a course, you can delete it by pressing the red X in the question’s row. You can also press the pen and paper icon in the question’s row to edit the question. Please note that these edits will apply to all tests in which the question has been imported.
You can filter which questions you see in the questions list in the question bank by using the search bar at the top of the list. View questions from specific categories by selecting a category from the corresponding dropdown menu or flag the options to view only unarchived or archived questions.
Importing a Question from a test into the Question Bank
You can also create questions directly into a test within a course, then import the question into the question bank by simply flagging the option during the question creation process.
Please note that this option is only available when you create the question. Once you create a question that you want to reuse in other tests (even in different courses), flag the option to add this question to the question bank. You cannot flag this option later when editing the test, and the question will not be editable from within the test, but rather you can only edit it from directly within the question bank.
All the questions that have been added to the question bank are marked with a specific icon in the test’s list of questions.
Important Notes about Using the Question Bank
Please keep the following in mind before using the question bank tool in your platform:
- When you add a question from the question bank into a local test, you will no longer be able to configure some options in that test in order not to generate conflicts with the settings configured in the question bank. Refer to this article about score management and this article about test options to learn more.
- Power Users can import questions from the question bank into a local test, but they cannot manage any questions or functionality in the Question Bank.
- The score obtained by a user for a question from the question bank will NOT apply to all tests in which the question is placed.
- Editing a question from the question bank will not alter the score calculations for tests in which users have already answered this question.
